Controlling Access to Your Knowledge Base Content
Learn how to limit access to the public articles.

Overview

UserGuiding gives you complete control over who can access your Knowledge Base articles. From the Access settings, you can easily set up whether you want your content to be completely public or restrict access to specific users.

Control Access Levels

Navigate to your Knowledge Base > Access tab to set your protection preferences. You’ll see three options:

Public Access

  • All articles are publicly visible and searchable on the internet.
  • No further setup is needed.

Public Access + Some Articles Protected

  • Some articles are available publicly, while others are restricted.
  • To protect specific articles, select the articles you want to protect.
  • Unselected articles will remain publicly accessible.
  • You can also hide protected article titles from navigation and search results to keep sensitive content fully invisible until access is granted.

All Articles Protected

  • All Knowledge Base content is private and only accessible to selected users.
  • No articles will be publicly visible.

 

Note: Access control functionality is available for Growth & Enterprise plans only.

Set Authentication Method

Once you choose a protection level that involves restricted content (options 2 or 3), you must configure how users authenticate to view the protected articles.

 

You can choose one or both of the following methods:

User Identity Verification

  • Use this if you already have user identity information on your web app.

Email & Password Login Wall

  • Require users to log in with an email and password.
  • If selected, you’ll need to add users manually.

Adding Users

  • Invite via Email
    You can type the user’s email and send an invite. Upon verification, they will set up their own password.
  • Create Manually
    You can set a user's email and password yourself. Then, share these credentials so they can log in and access the content.
